TroopTrack Customer Support

When I started TroopTrack in 2008, I was determined to build “the best scouting software on the planet”. Over the years, the word “best” for this little company has come to mean a number of different thing that we have strived for, including

  • Best feature set

  • Best user experience

  • Best customer service

  • Best infrastructure

  • Etc.


We’ve strived to be all of those things over the years, and that effort paid off. From 2008 to 2019, TroopTrack grew every year. We had resources to hire support staff, including me. For a while, TroopTrack was my full-time job.


And then the storm began. Boy Scouts of America took some hard hits - they lost critical affiliations, piled up enormous legal bills, and faced new competition from splinter groups unhappy with BSA’s trajectory. Their membership began to drop.


On top of this, TroopTrack began facing increasing competition from the various national organizations to whose members we provide software. BSA, AHG, and Trail Life USA all adopted national solutions to compete with TroopTrack.


As if that wasn’t enough, 2020 happened. Covid-19 took a heavy toll on scouting. Active membership in scouting declined significantly. Troops, packs, clubs, and crews closed down all over the US and haven’t re-opened.


For the first time in its history, TroopTrack subscriptions have trended down. As a result, revenues have gone down, and we’ve had to scale back. When our long-time support staff member, David Keener, found a position that aligned better with his career interests, we were faced with a tough decision - start the search for a replacement we might not be able to afford if this trend continues, or scale back customer support until the situation improves.


We believe the situation will improve. National organizations tend to see software solutions as one-time investments, whereas we see the need for constant improvement. We don’t make a lot of fanfare about it, but we release improvements to TroopTrack every month. It will take some time, but the cycle we’ve seen in the past will continue - national solutions will age poorly, scouters will become frustrated, and subscriptions will grow again.


We are well-positioned to weather the storm. TroopTrack is a small company, but it’s been reasonably well-managed over the years. It is debt-free and will continue to be so. Tyler and I do not rely on TroopTrack to support our families and as a result are able to take minimal salaries. But we do have to make a choice - we cannot currently afford to both provide full-time customer support as we have in the past and continue making improvements to the TroopTrack product.


We have to choose between the two, and for now we’ve chosen to keep improving the product. We will provide as much customer support as we can, but given we both have full-time obligations that support is going to be in fits and spurts. 


Thankfully, we have a robust community that can help with questions and best practices. Aaron Storey, a long-time TroopTrack user, has been especially helpful in the community forums. We love and appreciate him.


We have also been automating routine support tasks. Roster and achievement imports were automated last week, and transfers will be automated soon. As we identify other common questions and requests, we will endeavor to automate and document them.


In the meantime we are also exploring other ways to increase TroopTrack revenue. Options we’ve discussed include:

  • Raising our base price or switching to a per-user model

  • Charging extra for support by adding a “premium” subscription

  • Adding a modest amount of targeted advertising to our platform


We would like to give advertising a trial run, starting sometime between now and the end of January. If the revenue from advertising is sufficient and we start trending toward growth again, we will hire a support staff person to replace the wonderful David Keener.


Tyler and I appreciate your support and patience. Our customers have been our best marketers, and we desperately want to continue delivering a product you love that allows you to spend more time with kids and less time pounding keyboards. Thank you for being a TroopTrack customer.

Automated Imports available now, automated transfers coming soon

Hello Everyone.


As most of you know, our long-time support associate David Keener recently moved on to a new position as he pursues a career in marketing. We have struggled to replace him - it's a tough market right now and we are a very small company.


As a result, @Tyler and I have been doing customer support, and we aren't very good at it. Response times are long right now and we are struggling to catch up.


One thing we have learned since Keener's departure: the vast majority of support requests are imports and transfers. I recently did fifty imports and a dozen transfers. It took me several hours, but it got the programmer in me thinking. Why are we doing these manually? It creates work for me, and a delay for you.


So I gathered the development team, and we embarked on automating them. Imports are now automated and the results should be instantaneous. Transfers are in the process of being automated. The first version will be for outbound transfer requests - a person with the "Manage Members" privilege will be able to start a transfer of members to another unit, but that transfer will not be complete until someone from the other unit accepts them.


I think it will take another two-three weeks to finish that transfer feature. In the meantime, I hope you enjoy the automated imports.

TroopTrack is continuing to stay updated and making improvements to run efficiently! For example, we have released a feature allowing adults/leaders to be in more than one patrol. This feature has been requested for a while and the amazing tech team was able to get this done just recently! Spring 2022 Product Update

The Holiday Season is upon us. Happy Holidays from TroopTrack! 


TroopTrack is continuing to stay updated and our team is hard at work making improvements to create a quality and efficient scouting experience! For example, we now allow payment with a card without turning on automatic payments. Users can still subscribe using the automatic payments but below those, on the TroopTrack subscription page, there’s an option to make a one time annual payment.

Happy New Year! This past year of 2020 has had its ups and downs but TroopTrack is excited for 2021. We hope that everyone is staying safe while also pushing forward the work of Scouting! Continue to follow the basic guidelines set by your local council and continue to stay safe and strong.


The latest release of TroopTrack includes new features and lots of fixes to enhance your troop’s experience for this upcoming year of 2021! For example, we have recently implemented a secure auto-logout to TroopTrack. This auto-logout feature is a standard security measure for any online service and is a deterrent against unauthorized use of your accounts. TroopTrack stores private information that is required to be safely guarded by various state and national laws. Product Update: Announcing TroopTrack’s New Chat Feature 💬 and Much More

The TroopTrack team hopes everyone is doing well and staying safe. As always, the safety of our scouts, volunteers, employees and communities is our top priority. As we monitor and adjust to the ever–changing Coronavirus pandemic, TroopTrack is determined to provide the tools that scout groups need to stay in contact and move forward. 


As part of that mission, we are excited to announce our new chat feature! Introducing TroopTrack Chatterboxes!


Although it is still a feature in beta we thought it was an important time to improve troop communication for all our TroopTrack groups. Troops/Packs/Units/Groups can enable chat by going to Settings "⚙" > Edit Troop Settings > TroopTrack Settings > toggle chat on and get to chatting!


Keep in mind, chat is a beta feature and things may not work, look unappealing, and even dysfunctional. Your feedback is absolutely crucial and we invite you to leave it on the "Beta: Chatterboxes" thread on the TroopTrack Community


Our team has been busy at work improving TroopTrack. We would like to share some of the other noteworthy features and bug fixes that have happened over the past month.


New Features


  1. Troop-wide and one-on-one chat with the new Chatterbox feature. You can create and manage chat rooms with the Chatterbox Privilege enabled.

  2. Notifications. Now on the TroopTrack mobile app and the website TroopTrack users now have a notification center. In the notification center you will see notifications for:

  7. Dynamic Meeting Invitations. The way TroopTrack handled inviting members to events has been redesigned. This fixes the multiple listings of members on events. It is a new way of inviting members to events, and in the background, it is a new way of handling members that are invited to events. To enable this new feature go to Settings "⚙" > Edit Troop Settings > TroopTrack Settings > Toggle on dynamic meeting invitations. Once that is enabled, you will notice a new way of inviting members to events on every new event. It will not change existing or past events, but only new events. You will know when the new dynamic meeting invitation and members is enabled because you will see a new members tab on the event creation page.

Announcing TroopTrack’s Newly Launched and Revamped Mobile App
2020-02-13


TroopTrack’s newest version, TroopTrack 4, is now completely live. TroopTrack 4 was a big effort, but we’re not stopping there.


What’s next? How about the mobile app? Shouldn’t it get an update too?


Nope. An update isn’t enough. It needed a total makeover and that’s exactly what it got. Announcing the new TroopTrack mobile application, available now in the Apple App Store and Google Play.


Here are a couple of important things we would like to point out about the new mobile app:


  1. It’s free!

  2. It’s full-featured. Yup, that’s right it has full functionality. If you can do it on the web, you can do it on the app.

  3. It looks exactly like the web version of TroopTrack, so there’s no learning curve switching between the web and the app.


Important note: The iOS version will get installed when you update the app, but the Android version will need to be deleted and reinstalled.


Old versions of the app are no longer supported and will not work.


When creating the new mobile app we kept our troops and users in mind. We hope you like the updated TroopTrack mobile app. We have big plans for it.

TroopTrack 4 Release Date and Overview

On February 7 we will release the next-generation of the best scouting software on the planet, TroopTrack 4. With an updated interface and important new features, TroopTrack 4 (TT4) is an important step forward. Here are a few highlights of this release.

Updated Interface

TT4 features an interface based on the latest user interface standards so it looks modern and clean. To make it easy to get used to the change, we’ve kept the menu system the same as much as possible.

Improved Usability on Small Devices

TT4 automatically adapts to screen sizes, so the entire product works better on small screens such as mobile phones.

Themes

Want a “dark mode” version of TroopTrack that’s easy on the eyes? Or don’t like the default color scheme? TT4 features a number of themes to choose from so you can customize the look and feel of TroopTrack. You can set your theme at the troop level and at an individual level.

Shopping Cart

Tired of paying transaction fees for every RSVP or event item sold? TT4 features a shopping cart so your members can pay for all their RSVPs and event items in one transaction. You can watch the shopping cart in action here: https://vimeo.com/385879900

Public Events

Want to have a pancake breakfast and sell tickets that anyone in your community can purchase? The new public events feature makes this possible. Currently only available to customers using Stripe for payment processing with PayPal support coming soon.

Public Joining

Desktop Notifications

Want to get notifications directly on your desktop when your son or daughter’s achievements get updated? Or when a new member applies to join your troop? Even when you’re not using TroopTrack.com? Desktop notifications make it happen.

We hope you like the new look and new features of TT4. It will be available beginning February 7. We’re always working hard to make it easier than ever to run your organization and we hope you love and appreciate what we’ve done. We’ve sent this note only to TroopTrack Account Owners. Product Update

We have fixed a handful of bugs this past week:

  1. Awards were getting stuck on “calculating”: Certain awards were getting stuck on "calculating" because they fulfilled other awards. This issue has now been fixed and our "award robot" now can go through and complete such awards.
  2. Safari browser update achievements error: Users on Safari browser were not able to update achievements. This was because the date fields were not working correctly and an achievement can not save with invalid information. The user doesn't see the error message, but when achievements were saved nothing happened. This is now fixed.
  3. Add members to an existing household bug: There was a bug for some Trail Life troops that wouldn’t allow some troop members to add brand new profiles to existing households during the profile creation process. The screen would just flash and not do anything when the save button was pressed. This is now fixed and these troops can now create profiles and add them to a new household or any existing household.
  4. Manually Recording Nights, Miles, or Hours: There was a bug that was impacting BSA Packs that was breaking the outside participation form on individual profiles. The outside participation form is how leadership can manually record nights, miles, and hours. This bug was not displaying the form as it should be. The hours and nights fields were broken. This is now fixed and Packs should be able to see the full form.
  5. Participation book totals: On the participation book, tent nights and service hours were being miscalculated and displayed incorrectly. This has been fixed and the correct amount of totals will be displayed correctly.
  6. Minimally crashing features: A small group of users reported crashing dashboards, crashing equipment items, some percent complete calculations were failing, newsletters with certain type of assignments were failing to send, and an error processing inbound email. This has all been fixed as it was identified as crucial for this small group of users.


We have added the following requested features this past week:

  1. Signup sheet links in newsletter emails: The "assignment" section of the newsletter now automatically includes a link to sign up sheets. This way troop members are able to sign up directly from the newsletter instead of having to find the original sign up email.
  2. Reinstate deleted money accounts: Previously when troops accidentally deleted a money account within TroopTrack, that data was lost for good. Now we can recover that information if requested. Simply ask TroopTrack support if you ever experience an accidentally deleted money account.
  3. Event description tooltip on the calendar: Now when you hover over a calendar event on the calendar the event description is popped up so troop members can read the event description without having to click.
  4. Member Spreadsheet: We have added new functionality to the member spreadsheet. It now also includes members registration numbers. This member spreadsheet can now be found in the reports section of the quick nav within TroopTrack.
  5. BSA Membership Application Form: TroopTrack has the functionality for BSA units only to pre-populate the BSA Membership Application. Members can now print their BSA membership applications from their dashboard. Parents can do this for themselves or for their scout(s).

Product Update

BSA IA 2.0

We have made progress with TroopTrack’s integration with the BSA’s new Internet Advancement updates (IA 2.0/Scoutbook). As most know with the recent updates the BSA made to their Internet Advancement systems TroopTrack’s TurboNet is no longer. TroopTrack has created a way for us to upload rank advancements TO council. You can see a video on how to do this here: Internet Advancement 2.0 6. TroopTrack is just releasing today a feature to synchronize FROM council. With that done, we will be able to import scouts and adults into TT. Users will need to open a support ticket and attach the files and TroopTrack support will assist. You can do this by selecting SUPPORT in the top menu, and then selecting SPREADSHEET IMPORT/EXPORT and then select SCOUTBOOK from the "Type of Import" dropdown.


If you are trying to upload your TT data into IA 2.0, know that  IA 2.0 has some pretty strict data validation. Please double check that your TT data matches the records with scouting.org and confirm that all data matches what is in Member Manager. Even if your scouts have the correct BSA ID numbers, even the names and other information have to match. Our new ability to synchronize FROM council should help with this task. Make sure you follow completely what is listed in IA 2.0.

Previously there was an error when closing out completed IA 2.0 reports that would result in a 504, this has now been fixed.


Trail Life Troops

We have removed old rules that affected Trail Life troops and prevented them to take action on "unregistered" members. So now we no longer check to see if they are registered or not before allowing them to add achievements, etc.

Trail Life users now have access to the standard TroopTrack support options (previously they had to go to National first).

 

Signup Bug

For the last two weeks there was a bug that was causing trial signups to crash if there was already a unit with the same number in TroopTrack. This has been fixed and now troops can enter their true troop number at signup again.

 

TroopTrack Developer Program

For members of the TroopTrack developer program, we’ve fixed a bug in the API that caused the “get my info” endpoint to fail. It is now working. Remember, you can request access to the TroopTrack developer program by submitting an application on the “developer program” menu item in the menu that appears by selecting your name on TroopTrack.

BSA IA 2.0

With the recent updates the BSA made to their Internet Advancement systems, TroopTrack's TurboNet no longer connects as it previously did. We have made progress with TroopTrack's integration with the BSA's new Internet Advancement updates (IA 2.0/Scoutbook). TroopTrack has created a way for us to upload rank advancements TO council. You can see a video on how to do this here: https://community.trooptrack.com/t/internet-advancement-2-0/9069/14. TroopTrack is still in the process of adding a feature to synchronize FROM council. TroopTrack is confident we will have a solution but it is slower to release due to the lack of assistance from the BSA.


Trail Life TroopTrack Accounts

Starting July 13, 2019, all chartering and registration related features have moved to Trail Life Connect (https://traillifeconnect.com). Previously there were many special rules in place in TroopTrack just for Trail Life troops to enforce chartering and registration requirements. Because all these rules are now implemented in Trail Life Connect, they are no longer needed in TroopTrack and we are now removing them to enable the normal TroopTrack features to Trail Life accounts. This is an ongoing process as we add functionality back. Features we have fixed thus far:

  1. Adding members to Trail Life Troop accounts.
  2. Adding leadership roles
  3. Registered Trailmen
  4. Tracking achievements
  5. bulk achievements
  6. individual achievements
  7. editing personal info
  8. provisional progress
  9. access to same support resources as other TroopTrack accounts
  10. remove leader pages (this was a request from national)
  11. access to the dashboard
  12. ability to delete people
  13. ability to add members directly to patrols

AHG TroopTrack Accounts

Two weeks ago it was brought to our attention that some AHG troops see all custom awards in their various advancement menus rather than just their own. The TroopTrack team is still working on a fix for this.

BSA Internet Advancement

Most BSA TroopTrack troops are now aware that BSA turned off Internet Advancement on June 10, 2019. TroopTrack has been working hard to find a solution and we have been in contact with the BSA to figure out new options for integration between TroopTrack and their new system. We have concluded that the best approach is to export the information in a file out of TroopTrack and to then upload that file back up to IA 2.0/Scoutbook. This functionality is still being tested and we will update our BSA troops when this feature is working and launched. Contact us at support@trooptrack.com if you have any questions.


New Features

Also, we have added the following features to TroopTrack:

  1. We have added event information, including event links, to event emails. This makes it easy for the email recipient to just click to go to the event.
  2. We have also changed the default level award for cub scouts so that the "Progress Report" for a den defaults to the right award.
